A reliable rent record separates what was due, what arrived, which period it covers and what remains unresolved. That matters whether you manage one Athens flat yourself or appoint someone to help. This guide explains the payment setup, a simple reconciliation example and the questions to settle before changing payment instructions.
How does rent collection work in Greece today?
Start with the lease: amount, due date, agreed payment method and payee. Keep dated evidence of the payment and allocate it to the correct rental period. A standing order can reduce repeated administration, but it does not prove that every expected payment arrived.
Do not assume that a generic article overrides the agreed due date or other applicable rules. A bank transfer reference, a receipt and the rental ledger serve different purposes; retain enough evidence to reconcile them.
Bank-payment update: the current commencement date
Checked 23 September 2026: AADE A.1187/16 September 2026 postpones Article 210(1)–(3) of Law 5222/2025 to 1 July 2027. October 2026 is no longer the scheduled start.
The underlying provisions address bank payment and tax consequences. They do not establish that every payment by another route is automatically civilly invalid or unpaid. Ask your accountant or lawyer which rules apply to the particular lease and receiving account, including any implementation requirements, before changing instructions.
How do I set up clear rent records?
- Confirm the contractual lessor, agreed payee and receiving account. Record the authority for any person handling funds.
- Put the payment amount, due date and method in the appropriate agreement. Use the due date agreed in your lease; do not assume every tenancy has the same deadline.
- Agree a payment reference that identifies the rental period without unnecessary personal information.
- Check actual receipt against the expected amount. Allocate partial and combined payments explicitly.
- Keep fees, deposits and repair funds separate in the records. Reconcile the ledger with evidence and document corrections.
| Illustrative ledger for one rental period | Recorded amount or action |
|---|---|
| Rent due under the example lease | €800 |
| First transfer received | €500, allocated to this period |
| Balance still outstanding | €300; do not mark the period fully paid |
| Second transfer later received | €300, allocated to the same period |
| Reconciled rent received | €800 total. Record both dates and references; assess any late-payment issue separately under the lease. |
This is a bookkeeping example, not an actual tenant’s payment history or a debt-recovery procedure.
What can a property manager do with rent records?
A manager may perform agreed monitoring, reconciliation and communication tasks. Any receipt or handling of money needs clear authority, custody arrangements and compliance with the rules for the particular transaction. A management contract is not a universal banking authorisation.
Ask for a sample report distinguishing rent due, payments received, management fees, owner-approved expenses and unresolved balances. Confirm how access to records is provided without sharing personal banking or tax passwords. See the scope and illustrative reporting for Athens management.
Which payment method should I arrange?
| Method or arrangement | What to confirm |
|---|---|
| Standing order | Correct beneficiary, amount, reference and date; check actual receipt after any change. |
| Manual bank transfer | Receiving-account details and a clear allocation to the period paid. |
| Other payment route | Applicable rules, agreed evidence and professional advice before assuming it is permitted or prohibited. |
| Change of account | Verify the instruction independently with the authorised person. Keep an audit trail and notify the tenant through the agreed channel. |
Do not treat a message containing new bank details as sufficient verification. This guide does not establish the availability, limits or fees of a particular payment provider.
What does the payment method mean for tax?
Payment evidence, tax treatment and civil payment obligations are separate questions. The postponed bank-payment provisions should not be presented as already operative on the review date. Other rules may still apply, including to business expenses and the particular taxpayer.
Have an accountant confirm the relevant year, deduction conditions and evidence. Do not assume that a receipt alone resolves every tax requirement, or that a late payment automatically receives the treatment of uncollected rent.
What should I record when rent is late or unpaid?
- Verify the due date, expected amount and bank record, including partial or misallocated payments.
- Contact the tenant through the agreed channel and keep a factual record of the response.
- Record the unpaid balance separately from repairs, deposits and management fees.
- If the issue persists, ask a lawyer about the appropriate legal steps and an accountant about the evidence and timing for any uncollected-rent treatment.
- Keep any proposed repayment arrangement documented and reviewed where necessary. Do not assume a reminder message alone establishes tax relief or a right to recover possession.
For the legal route, consult the tenant non-payment and eviction guide alongside professional advice. Management support is not a guarantee of collection or an eviction timetable.
How is rental income taxed for tax year 2026?
The Ministry of Finance income-tax guide lists progressive property-income bands for tax year 2026: 15% up to €12,000; 25% on the portion above €12,000 through €24,000; 35% above €24,000 through €36,000; and 45% above €36,000. These are not the same question as a 2025 return filed during 2026.
The tax base, allowances, exemptions and uncollected-rent treatment depend on the relevant rules and the taxpayer’s circumstances. Actual operating cash expenses are not automatically additional tax deductions. Ask the accountant to confirm the calculation rather than applying one percentage to every owner.
Choose the rent-record tasks you want to delegate
If an Athens apartment is already let, start with the work that is causing difficulty: tracking payments, tenant communication, organising repairs or keeping records while you are abroad. You do not need a new tenant to enquire about management.
Discuss management of my Athens apartment. Share the area, tenancy status and requested help first. Private payment evidence and tenant documents can be handled through an agreed process if the service is suitable. For a provider comparison, use the management selection checklist.
