Property management is a set of agreed responsibilities, not a promise that someone takes over every legal and financial duty of owning a home. For an Athens apartment, start with the tenancy: is it empty, preparing to let, or already occupied? Then identify the tasks you need done locally and the decisions you want to keep.
What this guide covers
- Tasks before and during a tenancy.
- How to compare total management costs.
- Checks before choosing a letting model.
- Tax and legal responsibilities versus practical coordination.
- A handover brief for owners who live elsewhere.
What does a property manager in Athens actually do?
| Work to discuss | What to agree |
|---|---|
| Preparing and letting | Condition, advertising, viewings and selection process; who approves the rent, tenant and lease terms. |
| During the tenancy | Tenant communication, payment records and escalation of unresolved issues. Screening cannot guarantee payment. |
| Repairs and access | Who can enter, how access is arranged, spending limits and emergency authorisation. Contractor costs and coordination charges must be clear. |
| Records and reporting | Amounts due and received, fees, approved costs, receipts and open decisions. Ask for a sample report. |
| Professional work | Which lawyer, accountant or engineer performs a regulated or specialised task, with what authority and separate fee. |
These are scope questions, not a statement that every plan includes every task. See mamaXO’s long-term management scope and illustrative owner records.
How much does property management cost in Athens?
A headline percentage does not establish the annual cost or prove that offers are comparable. Ask for the base amount, VAT, minimum charges, tenant-placement fees and excluded work. A collection-based management charge does not eliminate repairs, property tax, insurance or all possible fixed fees.
| Calculate separately | Why it matters |
|---|---|
| Recurring management | Confirm whether the fee is based on collected rent, rent due or a fixed charge, and how VAT is shown. |
| Starting or changing a tenant | Check photography, marketing, preparation, placement and handover charges. |
| Work outside the ordinary scope | Ask about repairs, professional advice, disputes and authorisations before they are needed. |
| Vacancy and ownership | Rent not earned is distinct from a fee paid. Keep owner-paid expenses and empty months visible. |
Illustration using mamaXO’s published Autopilot rate, checked 23 September 2026: at €800 of collected monthly rent, 10% plus 24% VAT on the fee is €99.20 (€80 + €19.20). This is the management charge in that example, not the owner’s net rental income or a quote covering repairs, tax and all other expenses. The 5% Co-pilot rate is a different scope, not the same full-management service at half the price.
Use current mamaXO plans and fee calculations for our current rates and scope, then request the terms for your apartment. This guide does not present unsupported “typical market” percentages or a promised rental yield.
Long-term or short-term: which can I actually do in 2026?
Check the intended use before comparing revenue estimates. Long-term tenancy management and holiday-rental operations involve different tasks, costs and applicable rules. A higher nightly asking price does not establish higher annual cash income.
For 2026, the first-registration restriction in Athens municipal districts 1, 2 and 3 was extended through 31 December under Joint Ministerial Decision 225563EX2025. The Ministry of Tourism’s official update also describes the 2026 restriction. Check the exact address and registration history; previously registered properties involve separate conditions and procedures.
For short-term use, verify the registration route, the property’s location and registration history, technical requirements and current restrictions with the relevant professionals. The AADE short-term rental service is the official starting point. A postcode outside a restricted district is not a blanket approval for a particular property.
Golden Visa properties require a separate check of the acquisition regime and permitted use. Current restrictions should not be applied indiscriminately to every legacy or transitional acquisition. Read the Golden Visa rules and property-history guide and have the exact property reviewed before using holiday-rental income in a forecast.
What tax and legal duties does a manager handle?
Write down who is responsible for each action. Coordinating documents, submitting a declaration and giving professional advice are different activities. Do not assume that a management agreement alone grants authority to file a tax return, sign a lease or act in a dispute.
Registering the lease with AADE
Use the AADE property rental-statements service to check the information and process for the lease. Agree who prepares the information, who submits it with the necessary authority, and how the acknowledgement is retained. Do not equate a tax-information declaration with the private lease or infer that every error automatically invalidates the tenancy.
Rental income and ENFIA
An accountant should confirm the owner’s tax position, applicable income year, allowances and required declarations. Keep the management fee and other cash expenses separate from the tax deductions that the law permits. ENFIA is an ownership tax; E9 records property rights and changes. A manager’s practical help does not by itself transfer the owner’s obligations.

How do I manage an Athens property from abroad?
- Identify the owner or authorised representative and the tasks that require formal authority. Ask the relevant professional what documents are necessary for each action.
- Agree keys and access, respecting the existing tenant’s occupation and the terms of the lease.
- Record the payment route, deposit holder, balances and unresolved repairs at handover.
- Set the reporting language, communication channel, approval process and emergency arrangements.
- Keep personal banking and tax credentials private; use the appropriate authorised process.
The remote-owner handover planner helps organise practical information before an enquiry. Authority previously used for a purchase should not be assumed to cover every later management action.
What are the risks, and when should I self-manage?
Self-management may suit an owner who can handle communication, records and local visits. If the apartment is already let, identify the recurring tasks that still cause difficulty before paying for a broader service.
When appointing someone, resolve unclear charges, unrestricted spending authority, missing records and the process for leaving. Ask how delayed payments and disagreements are escalated, including when a qualified professional is needed. Management does not guarantee rent, an eviction timeline or a particular financial result.
How do I choose a property manager in Athens?
Give providers the same short brief and compare their written answers. Ask for total charges, owner approvals, a sample statement and the end-of-contract handover. Use the selection checklist and compare the different service models. Neither the smallest percentage nor the longest service list proves the best fit.
Tell us what you want to hand over
For an Athens apartment, share the area, whether it is occupied and the work you want help with. An existing tenant is a valid starting point for a management discussion; you do not need to be seeking a new tenant.
Discuss management of my Athens apartment. We will use the information to discuss suitability and scope. Fees and responsibilities need agreement before management starts. No tenant identity documents or complete lease upload are needed for the first enquiry.
